Subcontractor Tendering & Procurement
Need help getting trade quotes together? That's where we come in.
We help general contractors find subcontractors, send out trade packages, keep bids organized, and compare quotations. We can also help finalize subcontractor selections once a project is awarded.
Talk to us about a project →There’s a lot to manage before work starts.
You've got drawings to review, deadlines to meet, and trades to line up. Then come the emails, follow-ups, missing prices, and quotes that don't quite cover the same scope.
Mapleheart takes on the coordination work so your team can spend less time chasing bids and more time focusing on the project.
What we can help with
Finding subcontractors
We look for trades that suit your project and check the basics before inviting them to bid.
- Identify trades by scope and location
- Reach out about interest and availability
- Collect relevant qualification information
- Put together a bidder list for your approval
Managing trade tenders
We help get the right information to bidders and keep the tender moving.
- Organize approved trade tender packages
- Send invitations and track responses
- Follow up ahead of deadlines
- Coordinate questions and approved clarifications
Comparing quotes
Getting three prices isn't much use if they're based on different assumptions. We help make the differences easier to see.
- Prepare side-by-side bid comparisons
- Identify stated exclusions and qualifications
- Flag missing information
- Coordinate commercial follow-up questions
After the project is awarded
When you're ready to finalize your trades, we can help close out the procurement details.
- Reconfirm quotes and availability
- Follow up on outstanding information
- Complete agreed qualification checks
- Prepare recommendations for your decision
How it works
We review your trade packages, schedule, and what you need help with.
You'll know which trades we're handling, what we'll deliver, and the fee before we start.
We coordinate bidder outreach, invitations, questions, follow-ups, and quote tracking.
We give you organized comparisons and recommendations. You choose and contract with your subcontractors.
MAPLEHEART TRADE NETWORK
We're building our own network of trades.
Mapleheart is developing a private roster of prequalified subcontractors. The aim is simple: to have reliable trade contacts we can approach when a general contractor needs competitive quotes.
We're building the network carefully, with attention to each company's work, location, qualifications, and availability. Where needed, we can also source beyond the network.
STRAIGHTFORWARD PRICING
One trade or the whole project.
Some contractors already have their bidders lined up. Others need help finding the right trades. Pick the level of support you need, and we'll confirm the scope and price before getting started. No monthly commitment.
Multiple trades or a full project?
Tell us which packages you need covered. We'll put together one project-based quote instead of charging you for services you don't need.
All prices are in Canadian dollars, before applicable taxes. Starting prices apply to straightforward, agreed scopes. Final fees depend on the number of bidders, sourcing needs, deadlines, tender rounds, and level of review. Additional work is quoted before proceeding. No guarantee of a minimum number of bids.
What stays with your team
Mapleheart coordinates subcontractor tendering and procurement. Your company makes the final award decisions, signs the subcontracts, pays the trades, and manages the work on-site.
We don't purchase materials, handle deliveries, supervise construction, or provide detailed quantity takeoffs and construction estimates.
Common questions
Do we have to use your subcontractor network?
No. We can work with your existing bidders, source additional trades, or use a combination, depending on the project.
Can you help with just one trade?
Yes. You can hire us for one trade package or request a custom quote for several trades on the same project. There is no monthly retainer requirement.
Are the starting prices fixed?
They are starting prices for standard-scope work. We confirm the bidder list, sourcing needs, deadlines, tender rounds, and deliverables in a written quote before work begins.
Who chooses and hires the subcontractors?
You do. We organize the information and make recommendations, but the general contractor makes the final decision, signs contracts, and pays subcontractors directly.
Do you guarantee a certain number of bids?
No. Bid response depends on the trade, project, timing, and market. We'll agree on the sourcing and follow-up work we'll do, but can't promise a specific number of quotes.
Do you provide construction estimating?
Not at this time. We can compare subcontractor quotations and flag commercial differences, but technical estimating and quantity takeoffs remain with your estimator or other qualified professionals.
Have a project coming up?
Tell us what you're bidding or building, which trades you need help with, and when you need quotes back. We'll let you know if it's a good fit.
